MIDDLE SCHOOL SECRETARY TO THE PRINCIPAL

JOB DESCRIPTION

 

 

Reports to:      Building Principal or his/her designee

 

Job Goal:        To expedite the daily workings of a school office, dealing with the Central Administration, students, teachers, and parents, under the direction of the school principal, and in such a fashion to provide maximum facilitation of the overall educational process of the school

 

Responsibilities:

  1. Schedule and record appointments for Principal.

  2. Type memos and correspondence for Principal or other miscellaneous typing needed by Principal.

  3. Open and sort mail for the Principal.

  4. Update year round files and forms.

  5. Type purchase orders upon request.

  6. Keep log of orders.

  7. Record and check all work order transactions.

  8. Type memos and correspondence for Principals'/Counselors from time to time.

  9. Responsible for all forms and setting up binders for teachers' handbook.

  10. Answer phones and greet people in a friendly and courteous manner.

  11. Responsible for typing minutes for School Council meetings.

  12. Filing open meeting form for Council meetings.

  13. Set up binders for Council members.

  14. Assist in the preparation of orientating new staff by preparing forms, etc.

  15. Write out checks upon request (proper forms must be filled out.

  16. Count and deposit all money.

  17. Record keeping of all accounts and transactions.

  18. Reconciling of statements.

  19. Keep log of purchase orders.

  20. Record all transactions in budget book.

  21. Check orders upon delivery.

  22. Calling in repairs/problems to appropriate company for all machines.

  23. Maintain professional confidentiality in all matters.

  24. Prepare other duties as assigned by the Principal. 

Qualifications:

 

  • Successful completion of high school.
  • Familiarity with word processing and general computer usage.
  • A proven ability to work in a polite and friendly manner.
  • Such alternatives to the above as the School Department may find appropriate and acceptable. 

Evaluation: Performance to be evaluated annually, in writing, by the Principal.
